Individuals coming to Oregon State University through its’ Exchange Visitor Program may request OSU sign a written agreement issued by the individual’s sending institution in order to participate in the Exchange Visitor Program and obtain a J-1 Visa for their visit.  Such agreements require signature by an OSU Contracts Officer.

Please follow the procedures below:

  1. Individual submits the agreement with all fields filled in to the OSU sponsoring department (the “Department”) for signature by the Department authorized representative and, if requested, the OSU employee who will supervise the individual’s activities, as described in the agreement, while visiting OSU.
  2. The OSU Department is responsible for fulfilling OSU’s obligations of the agreement.  As such, the Department must review and agree to the terms of the agreement.
  3. The Department submits the agreement to Procurement, Contracts and Materials Management (PCMM) for assignment to a Contracts Officer for review and approval.  Agreements are submitted by email to  Agreements are reviewed in the order they are received unless otherwise requested in the transmittal e-mail.
  4. The Contract Officer will review the agreement and will work with the Department contact if there are any questions or changes.  Once signed, the document will be routed back to the Department of distribution.
